Revolutionizing EdTech: VirtuOwl's Impact on Education Access and Efficiency

The Challenge

The global pandemic in 2020 created a realization that across all sectors, we need a better way to connect when we can't meet in person. Telemedicine became vital when so many could not make it to the doctor in person. In one study the NIH said, "The benefits of telemedicine after its pandemic renaissance are apparent now more than ever: convenient and timely access to care that overcomes geographic barriers, reduced burden on medical infrastructure (e.g., traffic, facilities' wear, perhaps reduced staff needs), and minimal exposure to infectious diseases for all participants." 

The pandemic's impact on healthcare was mirrored in other industries, none so evident as education.   

There needed to be a better way for teachers and counselors to connect with students in a secure infrastructure where the interaction could be recorded and documentation completed in real time. Parents faced significant challenges staying actively engaged and informed in their children's education due to a need for integrated and efficient communication and support systems. Administrators were overwhelmed by complex, disjointed systems that hindered efficient management and effective communication within educational institutions. Counselors and teachers were overburdened with administrative tasks, leading to burnout.   

The pandemic took a severe toll on teachers, with 567,000 fewer educators in public schools than before 2020. Beyond that, in a study VirtuOwl conducted, 90% of teachers identified burnout as a serious problem. Counselors deal with much of the same, estimating 15-16 hours each week dedicated to administrative tasks, which could be spent with students if they had better tools.  

While the pandemic brought many of these issues to light, it was not the first time teachers, students, and administrators needed more support.   

In 2020, Brandon Barker and Debra Hays founded VirtuOwl in response to the inadequate systems available to support educational environments during the pandemic. The idea emerged from their firsthand experiences of watching their children struggle with existing systems.   

VirtuOwl would provide a secure infrastructure to reduce administrative strain, provide additional tutoring and counseling services, facilitate communication, improve record-keeping and documentation, and enhance the educational experience for all involved.

The Solution

While VirtuOwl is a standalone company, because of its inception within ConcertIDC, we have been able to work closely with those at VirtuOwl to create a solution informed by developmental excellence and an intense focus on solving problems educators and students have faced firsthand.   

VirtuOwl was created over a six-month period using an existing telemedicine platform. By partnering with educators, ConcertIDC customized the software for education while using the security and workflow used in healthcare. ConcertIDC also added features that offer specific support in an educational institution, such as robust reporting, one-to-many sessions, screen sharing, whiteboarding, complete scheduling, and access to on-demand help. So, instead of waiting until a future date, students and parents can use VirtuOwl to book an on-demand session when needed.   

Using existing software built for healthcare meant most of the complex problems in creating a video conferencing and scheduling system were already addressed.  All integrations and security measures were in place, so the ConcertIDC team focused on solving problems that are very specific to education, such as educator categorization, built-in background screening, a more granular scheduling system, and ensuring the system was scalable for much larger sizes to address the entire K-12 market.  

As part of VirtuOwl's development, ConcertIDC conducted many sessions with educators to ensure the system was being built from their perspective.  We partnered with two educators from different backgrounds to vet all ideas and only develop features that serve the market.  This educator input allowed us to launch a system ready to be deployed with no additional development.  ConcertIDC then supported VirtuOwl through the beta deployment with ACCESS.  

Through VirtuOwl's partnership with the ACCESS Program, ConcertIDC has provided even more features requested on VirtuOwl, ensuring ACCESS and future users get the most out of the system. Some of these requests include:   

  • Educators can customize their availability for individual days, not just days of the week.  
  • Educators can schedule appointments at any time regardless of their availability instead of the specific start/end times for the meeting.  
  • Automatic force logout due to inactivity 
  • Educators on-demand availability updated when sessions end. 
  • Provide details of why a meeting was not completed. (i.e., the student didn't arrive, the educator didn't arrive, etc.) instead of "Missed." 
  • On-demand scheduling moved to the student home page. 
  • Student access to Whiteboard. 
  • Call testing feature (To troubleshoot issues). 
  • Report updates for better clarity.

 Because VirtuOwl is designed with many stakeholders in mind, it can accommodate both internal and external users, which are defined as:

VirtuOwl's extensive administrative capabilities ensure internal users can access relevant resources easily. This is executed with a few key features:

VirtuOwl is designed with user experience in mind. The platform is intended to be implemented in a K-12 environment, and we understand that means variance in what types of users will be engaging on VirtuOwl. To ensure every user, regardless of age, technology experience, comfortability, etc., can use VirtuOwl because of its ease of use. Some specific ways we have kept these user experience components in mind is through the implementation of the following features:

The Results

Following the initial success of completing the VirtuOwl product and launching with their first institutional customer, the Department of Education in Alabama through the ACCESS Program, VirtuOwl completed two additional funding rounds. In June 2024, the third funding round supported expansion and growth, enabling VirtuOwl to offer its innovative product to educational institutions nationwide.  

The ACCESS Program is highly satisfied with its performance and is utilizing the VirtuOwl platform extensively for its summer school program, which has seen a significant increase in usage. Each state has a virtual program, like the State of Alabama, and VirtuOwl is actively pursuing a nationwide sales campaign.    

VirtuOwl is also partnering with other EdTech companies that specialize in recognizing potential mental health challenges for students to provide counseling services via the solution.  This is a high priority for VirtuOwl as the ratio of counselors to students is 408:1, while the Department of Education recommends a ratio of 250:1.  

VirtuOwl enables efficient coordination between educators, counselors, students, and parents, improving overall educational support and engagement. The platform’s on-demand support feature has been particularly beneficial, offering immediate help to students when they need it most. This has not only enhanced the educational experience for students but also reduced administrative burdens on staff, allowing them to focus more on direct student support.
